Refund & Cancellation Policy

This Refund & Cancellation Policy explains how cancellations, rescheduling, and refunds work for services provided by Solvatrix Systems ("Solvatrix," "we," "us," or "our"). It forms part of our Terms of Service. Because we provide professional consulting and administrative services that involve dedicated time and prepared work, this policy is designed to be fair to both you and us. By engaging our services, you agree to this policy.

1. How our services are delivered

Our services are delivered as time and work, not as physical goods. Once we begin an engagement, we commit time, attention, and preparation to your project. This policy reflects that reality: cancellations before work begins are treated differently from cancellations after work has started.

2. Scheduled sessions and rescheduling

For services delivered as scheduled sessions, such as Business Operations Consultation, you may reschedule or cancel a booked session at no charge by giving us at least 24 hours' notice before the scheduled start time. If you cancel or reschedule with less than 24 hours' notice, or do not attend a scheduled session, the session may be treated as delivered and may not be refundable. We will always try to be reasonable where genuine emergencies arise.

3. Cancellation before work begins

If you have paid for a service and wish to cancel before we have begun any work on it, you may request a refund of amounts paid for the not-yet-started service. Please send your request promptly. We will refund such amounts, less any non-recoverable third-party costs already incurred on your behalf, if any.

4. Cancellation after work begins

If work has already begun when you cancel, we will assess the stage of the engagement. You remain responsible for the value of work performed and reasonable costs incurred up to the point of cancellation. Where you have prepaid a fixed fee and only part of the work has been completed, we will refund the portion reasonably attributable to work not yet performed, at our reasonable discretion. For hourly services, you are charged for time reasonably spent up to cancellation, and any unused prepaid balance is refundable.

5. Completed and delivered work

Fees for services that have been completed and delivered — for example, a finished market research summary, a completed plan, or a delivered set of documentation — are generally non-refundable, because the work product has already been produced and provided to you. If you believe a completed deliverable materially failed to meet the scope we agreed, please see the section below on quality concerns.

6. Quality concerns and revisions

We want you to be satisfied with our work. If you believe a deliverable does not match the scope we agreed, contact us within 14 days of delivery and describe the issue. We will review your concern in good faith and, where appropriate, provide reasonable revisions or corrections to bring the deliverable in line with the agreed scope, at no additional charge. This revision commitment covers the agreed scope; it does not cover new requests, added scope, or dissatisfaction with outcomes that depend on your own decisions or on factors outside our control.

7. How to request a cancellation or refund

To cancel a service or request a refund, contact us using the details below and include your name, the service involved, the date of purchase or booking, and a brief explanation of your request. We aim to acknowledge refund and cancellation requests within a reasonable time and to resolve them promptly and fairly.

8. How refunds are issued

Approved refunds are issued to the original method of payment where possible. The time it takes for a refund to appear depends on your payment provider and is outside our control. We do not charge a separate processing fee for issuing an approved refund, though any non-recoverable third-party costs may be deducted as described above.

9. Non-payment and suspended work

If an account is past due, we may pause work until payment is brought current. Pausing work for non-payment does not entitle you to a refund of fees already earned. If an engagement is terminated for non-payment, fees for work performed up to termination remain payable.

10. Changes to this policy

We may update this Refund & Cancellation Policy from time to time. When we do, we will revise the "Last updated" date above. The version in effect at the time you engage a service applies to that engagement. Your continued use of our services after an update indicates your acceptance of the revised policy.
